Realized I was sending the same follow up email to everyone for 8 months

I was just blasting out the same generic follow up to every lead I got from a trade show in Chicago last year. Then last week a guy replies back and says 'did you even read my business card? We're a roofing supply company, not a software firm'. That's when I looked back at my email list and saw I never once sorted them by industry or what they actually needed. Has anyone else found a decent way to tag leads right from the first contact so you don't look like a fool?

I read a study once that said something like 70% of sales emails get ignored because they feel like copy-paste jobs. That pretty much sums up what happened here, you were just another template in their inbox. @simonp40 hit it right when they said this is more about building a check-in habit than finding some fancy tagging system. Tagging wont help if you never look at the tags you set. Maybe try adding a note to your calendar every month to skim your list and see what actually makes sense for each person. Its boring work but it beats getting called out like that.

Has anyone else found that the real key is just being honest with yourself about what you actually know about each person? For me, I started keeping a quick note in my contacts right after a call or meeting, just one sentence about what they mentioned wanting to fix. Then when I check in, I read that note first and it makes my email feel way more human. That simple thing cut my ignore rate down a lot.

Not sure tagging is the real fix here. The problem was you sent the same thing to everyone for 8 months without a single glance back. That's a habit thing, not a tool thing.
